Welcome to Alumni Memorial Hall (also home to a renewed and revised University Club), one of the most beautiful event spaces on McMaster’s campus. Conference & Event Services’ expert event planners are thrilled to partner with Hospitality Services to uphold the reputation of this space by offering world-class dining and event management for members of the McMaster community and sponsored non-members.

PLEASE NOTE: As per measures implemented by the Government of Ontario in response to recent trends, indoor meeting spaces are closed until at least January 27th.

Amenities and Rates

For over forty years, Alumni Memorial Hall has been a focal point for intellectual, cultural and social interaction on campus for faculty, staff and alumni of McMaster University.

The amenities of Alumni Memorial Hall include the historic Great Hall with its unmatched view of the Faculty Hollow and bordering Royal Botanical Gardens from the balcony, which extends along the full length of the west side of the Great Hall. Also on the main floor, the Members’ Lounge (Bar) offers a relaxing atmosphere, and the West Room is a popular location to host meetings or social gatherings. The Dining Room and Patio offers the ideal setting for hosting casual or formal dining events.

Hosting your next event at the hall offers a wide range of choices, from small groups in the West Room to banquets and fine dining in the Great Hall and lower level Dining Room and Patio. The hall offers event planning, facilities and catering services for private parties of all sizes; from a weekend conference to an elegant wedding.

Hosting and Capacity

Non-members can reserve Alumni Memorial Hall for private events by securing a Sponsor. The event sponsor must be a current Club member in good standing. Alternatively, non-members can apply for Club membership: faculty, alumni, or university staff.

Alumni Memorial Hall Policies

Deposits

The following schedule of deposits applies to all private (non-University) weekday functions:

· An initial non-refundable deposit of $500 is due at the time of booking the function – either by credit card, debit card, cheque or e-transfer.

· A valid credit card number and expiry date is required at the time of booking to guarantee the reservation. Other methods of payment accepted include debit card, cheque or e-transfer.

The following schedule of deposits applies to all private weekend functions:

· An initial non-refundable deposit of $1000 is due at the time of booking the function.

· A valid credit card number and expiry date is required at the time of booking to guarantee the reservation.

· 50% of the estimated balance is due at least 14 days prior to your event and the estimated remaining balance is due 48 hours prior to the day of your event. Any outstanding amounts will be invoiced, and any credits will be refunded.

· Any outstanding balance is due upon receipt of the invoice.

 

Confirmation

All catering details will be required no later than the Thursday two weeks prior to the event date. Minimum guarantees are due 4 business days prior to the event.

If no guarantee is received by the appropriate time, the expected attendance will be used as the guarantee. Any changes made after this deadline cannot be guaranteed. You will be billed the guarantee, or the actual attendance, whichever is higher.

Alumni Memorial Hall accepts debit card, MasterCard, Visa and American Express.

Cancellations

All deposits are non-refundable.

Tax and Service Charge

All food and beverage services are subject to 15% service charge and 13% H.S.T. Other services are subject to 13% H.S.T.

Catering Hours of Operation

Beverage Service and Entertainment will cease at 12:30 am.

The premises must be vacated by 1:00 am. Alumni Memorial Hall reserves the right to close beverage service at any time. If any event stays on past 1:00 am, there is an additional charge of $100.00 per every 1/2 hour.

Bar Service

If bar sales are less than $300 dollars, before applicable taxes and service charge, a labour charge of $25.00 per hour the bar is open will be billed to your event’s final invoice. (3-hour minimum). Alumni Memorial Hall shall determine the number of bartenders per event.

Important General Information

No food or beverage can be brought into Alumni Memorial Hall, with the exception of wedding or birthday cakes, subject to the advance approval of the Hall Manager or Catering Manager. A minimum $250.00 will be billed to your event’s final invoice if any person attending your event discharges any substance (i.e., rice, confetti, et cetera), regardless of quantity, on McMaster University property.

Prices do not include applicable taxes and service charge.

Responsibilities, Terms and Conditions

The Member, Host or Convenor assumes full responsibility for any and all damages to Alumni Memorial Hall caused by their guests or independent contractors associated with their event. Alumni Memorial Hall is not responsible for any loss or damage to any goods, property and/or equipment of any type brought into the building for their function. Under the Catering Agreement that the Member, Host or Convenor of a function will be asked to sign, Alumni Memorial Hall shall not be liable or responsible in any manner whatsoever for any damages sustained by any person booking a function or by any person attending or scheduled to attend a function at Alumni Memorial Hall. The person booking the function will be asked to indemnify Alumni Memorial Hall against any and all claims and expenses presented by any person for any loss or damages whatsoever, and will further be required to reimburse Alumni Memorial Hall for any damages done to any part of Alumni Memorial Hall’s premises or equipment which is caused by the Member, Host or Convenor or any person attending the function.

Relocation

Alumni Memorial Hall reserves the right to relocate any function to an alternate room within the building when necessary due to a change in guaranteed numbers.

Weekday Private Catered Events

September—June: a minimum requirement for 10 guests (under 20 guests a labour charge of $25 per hour for a minimum of 3 hours will be applied).

July—August—a minimum requirement of 20 guest

Weekend Events

All catering events held on Saturday, Sunday or a statutory holiday must exceed a minimum of $2,500.00 in food sales, before applicable taxes and service charge.
